PRIVACY NOTICE

How we look after the personal information of our players, members, parents and supporters.

Last updated 14 October 2026

Who we are

Eastside Athletic Football Club ("the club", "we") is a Sunday league football club affiliated to the Essex County FA and competing in the Essex Corinthian Sunday League. The club is responsible for the personal information described in this notice. For any privacy question or request, email eastsideathleticfc@gmail.com.

What we collect

  • Players and members: your name, contact details, date of birth, emergency contact, FA registration details, and records of appearances, goals, cards and payments to the club.
  • Health information: only if you choose to tell us about a medical condition or injury so we can keep you safe.
  • Parents and guardians of under-18 players: your name, contact details and the consents you give for your child.
  • Photos and video taken at training and matches.
  • People who contact us: whatever you send us by email or social media message.
  • Partners and sponsors: business contact details.

Why we use it

  • To register players with the FA and the league, pick teams and run matches. Taking part in league football depends on this.
  • To contact you about training, fixtures and club news.
  • To keep players safe, including following the FA's safeguarding requirements.
  • To manage subscriptions, fundraising and partnerships.
  • To publish team news, match reports, the squad list and player statistics on our website and social media.

We rely on our legitimate interests in running a football club for most of this, and on legal and FA obligations for registration and safeguarding. We use health information only with your consent, or in an emergency to protect someone's life. We only publish photos with consent (see below).

What we publish

Our website and social media may show a player's name, position, club role, age, squad photo and match statistics, and mention them in match reports. We never publish dates of birth, addresses, phone numbers, emergency contacts or registration details.

Squad photos are supplied by the players themselves or taken by the club with their agreement. If you'd like your photo or details taken off the website, email us and we'll remove them.

Under-18 players

We will not publish the name, age or photo of a player under 18 until a parent or guardian has given consent. Parents and guardians can withdraw that consent at any time. Our Club Welfare Officer is Francis Hastings.

Who we share it with

  • The FA and Essex County FA, to register players and for discipline and safeguarding.
  • The Essex Corinthian Sunday League, for team sheets, results and league administration.
  • Insurers, if there is an injury or other claim.
  • Emergency services, if someone's safety is at risk.
  • Service providers who help us run the club, such as our email and website hosting providers. They can only use the information to provide their service to us.

We never sell personal information or share it for marketing.

How long we keep it

We keep player and member records while you're involved with the club and for a reasonable period afterwards for league, FA and insurance purposes, then delete them. Match reports and results stay on the website as part of the club's history, but we'll remove a photo or personal detail on request.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, or stop using it. Where we rely on your consent, such as for photos, you can withdraw it at any time. Email eastsideathleticfc@gmail.com and we'll respond within one month.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office at ico.org.uk.
